What you can do in ChauffeurDesk

Take a booking, see the day in pickup order with call time first, and keep each Navigator ready. Owners, managers, chauffeurs, and customers each see the part they need.

The day at a glance

One board for the whole day

Every run shows call time, pickup, customer, chauffeur, vehicle, status, and flags in one row. A number you see opens the list behind it, so nothing is a dead end.

  • Runs in pickup order, with call time shown first
  • Unassigned runs, vehicles not ready, and overdue service flagged on the row
  • Chauffeurs see only their own runs and their own vehicle on a phone

Bookings and quotes

See the quote before you confirm

Enter the trip and read the rate, gratuity, and all in total on the same screen. Changing a rate in settings applies to new quotes only.

Instant quote

Choose service, pickup, drop off, date, time, and flight or hours. The quote updates from the company rates.

Gratuity shown beside the quote

Rate, gratuity, and all in total stay as separate lines, in whole dollars rounded up.

Save as Quote or Confirm

A public request starts as a Quote. Staff confirm it before it is scheduled.

Schedule

Call time first, conflicts flagged

Call time is pickup time minus the lead hours setting. The schedule shows each chauffeur day as a call window plus runs.

Day board

Review runs in pickup order with call time, pickup, customer, chauffeur, vehicle, status, and flags. Reassign a chauffeur or vehicle from the row.

Auto assign

Open runs are filled in pickup order. The chosen chauffeur and vehicle are shown for review before they are applied. A vehicle that is out of service, failed its check, or is overdue is never assigned.

Days off and conflicts

A chauffeur marked off for a day cannot be assigned that day. Two runs conflict when their windows come closer than the minimum gap setting.

Chauffeur phone day

Each chauffeur sees only their own runs, confirms at call time, and advances status with one tap per step.

Care for vehicles

Ready only when every item passes

The daily check and the maintenance record sit with the vehicle, so dispatch can see readiness before it assigns a run.

Daily clean and inspect

Cleaning items first, then safety items, with odometer, fuel, issues, and photos. Any failed safety item takes the vehicle out of service until cleared.

Maintenance tracking

Fourteen livery items by miles or months, whichever comes first, with due soon and overdue flags and a history of shop and cost.

Care for customers

Records, issues, and messages in one place

Keep preferences with the customer, track issues to resolved, and draft each message from the booking for a person to approve.

Customer record

Preferences for water, temperature, music, and child seat, VIP flag, ride history, and spend. Preferences carry onto new bookings.

Issue queue

Complaint, lost item, billing, late pickup, and compliment linked to a booking, with a resolution note before it can be marked resolved.

Message drafts

Confirmation, chauffeur details, on location, and thank you drafts. No draft is sent without a person approving it.

How it works

From quote to receipt

  1. Request a quote

Enter service, pickup, drop off, date, time, flight or hours, and preferences. Read the quote with gratuity and total.

  2. Staff confirm

The request lands as a Quote. A manager confirms it, assigns a chauffeur and vehicle, and checks flags.

  3. Chauffeur confirms at call time

The chauffeur confirms the run, finishes the daily check, and the customer receives name, vehicle, and phone.

  4. Ride and receipt

Status advances in order to Complete. The thank you draft attaches the receipt for approval before sending.
