Schedule guide

How to assign runs and fix flagged runs

Open the schedule, check call time and flags, run auto assign in pickup order, and reassign any run that has no chauffeur or a vehicle not ready.

Steps

Mark days off first. Auto assign then skips chauffeurs who are off.

  1. Mark days off first

Mark a chauffeur off for the date with a reason. A chauffeur marked off cannot be assigned that day, and the run is flagged until covered.

  2. Run auto assign

Run assignment for open runs in pickup order. Auto assign prefers the chauffeur with the fewest booked hours that day, a vehicle checked today, and full time over relief.

  3. Review each chosen chauffeur and vehicle

Check call time, pickup, customer, chauffeur, vehicle, status, and flag for each run before you apply. Relief chauffeurs use the car of a chauffeur who is off and whose car is free.

  4. Apply or reassign by hand

Apply the reviewed choices, or reassign a chauffeur or vehicle on a run. The screen warns when the new choice breaks the minimum gap, puts a chauffeur on a day off, or uses a vehicle that is not ready.

Flags and the fix for each

A run is flagged when it has no chauffeur, the chauffeur is off or double booked, or its vehicle is not ready. The flag states the reason.

No chauffeur

Run auto assign for the day, or assign a chauffeur by hand from the run. Check that the chauffeur is not off and has no conflict.

Chauffeur off

Reassign the run to a chauffeur who is not off that day. For a relief chauffeur, use the vehicle of the chauffeur who is off when that car is free.

Double booked

Two runs conflict when their service windows, pickup to pickup plus estimated hours, come closer than the minimum gap, 45 minutes by default. Move one run to another chauffeur or vehicle, or change the time only with customer agreement.

Vehicle not ready

Never assign a vehicle that is out of service, failed its daily check, or is overdue for service. Assign a ready vehicle, or clear the vehicle after repair and a passing check.

How to check the result

After you apply assignments, the day board should show no open flags for covered runs.

  • Each run shows call time first, then pickup, customer, chauffeur, vehicle, status, and flag.
  • Each chauffeur day shows call window plus runs, so overlaps and gaps are visible.
  • Vehicles not ready stay flagged until they pass the daily check or are cleared.
