How to approve a customer message before it is sent

A manager reviews confirmation, chauffeur details, on location, and thank you drafts before sending. No draft is sent without a person approving it, and the approved text is the text that is sent.

Steps to approve a draft

Work from the booking, so every fact can be checked in one place.

  1. Open the draft queue

Go to Messages. Drafts waiting for approval are grouped by booking and type, with the recipient and channel shown beside each draft.

  2. Read the draft against the trip facts

Open the booking beside the draft. Check service, date and time, pickup, drop off, flight if any, and the rate plus gratuity and all in total. For chauffeur details, also check name, vehicle colour and type, plate, and direct line.

  3. Edit it if needed

Edit the plain short text in the editor. Keep sentences short and specific. If a fact changed on the booking, update the draft so it matches the booking, not the other way round.

  4. Approve and send it

Approve the edited text to send it. The history then shows what was approved, by whom, and when, on that booking.

  5. Or reject it and request a new draft

Rejecting keeps the draft on the booking and requests a new draft from the booking facts. Nothing is sent from a rejected draft.

What each draft states

Each kind is drafted at a set moment in the run. The table below is the content check a reviewer uses.

Confirmation

Drafted at booking. States service, date and time, pickup, drop off, flight if any, rate plus gratuity, and that chauffeur name and phone arrive at call time.

Chauffeur details

Drafted at Driver confirmed. States chauffeur name, vehicle colour and type, plate, direct line, and for airport arrivals meet at baggage claim with a name sign.

On location

Drafted at On location. Says the chauffeur is at the pickup and to take time.

Thank you

Drafted at Complete. Attaches the receipt and invites feedback, with fare, gratuity, and all in total on separate lines.

What a buyer, IT, and compliance reviewer will ask

Approval is a control, not a courtesy step. The screen is built to show it.

Human approval first

Only an owner or manager approves a draft. The approved text is stored exactly as sent, with approved by, approved at, and sent at on the booking.

Right recipient, right time

Confirmation goes to the booker. Chauffeur details and on location go to the passenger when a different phone is given. Chauffeur name, vehicle, and phone stay hidden on public pages until Driver confirmed.

What never appears

VIP flag, spend history, internal notes, rates settings, and audit data never appear on a customer message or a public link. Public links return only that one booking.

Templates stay plain

Templates use only booking facts. Unknown or invented facts are not added. Wording stays short, plain, and specific, with no exclamation points on the draft itself.

Audit without secrets

Changes are logged with who approved what and when. Secrets and personal notes are never put in the log detail, and no card details are collected on the public form.

Pair approval with the run

Read when call time happens, then open the chauffeur phone guide.
