How to set up your company for the first run

An owner follows the setup checklist from an empty workspace to a ready schedule. Defaults prefill rates, lead hours, minimum gap, and gratuity so setup can start at once, and each step shows done and next states.

Steps in order

Do the steps in this order. Later steps reuse what earlier steps saved, so rates and vehicles are entered once.

  1. Company profile

Enter company name, public name, phone, timezone, service area, and pickup points including MCI, Downtown, Crown Center, Country Club Plaza, Power and Light District, Convention Center, Overland Park, Leawood, Lee's Summit, and Independence. The public booking page uses the public name.

  2. Rates and scheduling settings

Confirm the defaults, then edit them if needed: hourly 125 with a 3 hour minimum, MCI flat 175, point to point minimum 150, events 140 an hour with a 4 hour minimum, gratuity 20 percent, lead 3 hours, gap 45 minutes. Preview a quote for each service type before saving. Changing a rate applies to new quotes only.

  3. Vehicles

Add each of the 10 vehicles as a 2026 Lincoln Navigator L Reserve 4x4, 7 passengers maximum, black SUV service. Record plate, colour, permit number and expiry, inspection expiry, odometer, and home chauffeur. Permit and inspection dates are shown before they lapse.

  4. Chauffeurs and relief chauffeurs

Add 10 full time chauffeurs, each keeping one vehicle at home, plus 2 relief chauffeurs who drive the car of a chauffeur who is off that day. Record phone, email, type, home vehicle, driver certificate number and expiry, and active state. Mark days off so dispatch can flag runs that need cover.

  5. Pickup points and message templates

Review the pickup point list and meet instructions, with baggage claim meet and greet for MCI arrivals. Review the four message templates for confirmation, chauffeur details, on location, and thank you. Drafts are generated from each booking and wait for a person to approve them before sending.

  6. Daily check and maintenance schedule

Review the cleaning and safety item lists and confirm the 14 item livery schedule is loaded with miles or months intervals and typical costs. A vehicle is Ready only when every daily check item passes, and any failed safety item takes it out of service until cleared.

  7. Test booking

Create a test booking for MCI, read the instant quote with gratuity and all in total, save it as Quote, then have staff confirm it. Assign a chauffeur and vehicle, check that call time appears, and approve one message draft. Delete or label test records so they do not count toward dispatch.

Readiness: what must be done before the schedule can auto assign

Auto assign works in pickup order and never uses a vehicle that is out of service, failed its daily check, or is overdue for service.

  • Setup cannot be marked complete until rates, at least one vehicle, and at least one chauffeur are saved.
  • A chauffeur marked off cannot be assigned that day, and the run is flagged until covered.
  • Certificate expiry blocks auto assign when it has lapsed, and vehicle readiness is checked before a run is assigned.
  • Every setup change is logged, and no secret or personal note is put in the log detail.

If a step shows Needs attention, open that screen from the checklist. The checklist state is kept per workspace, so a manager can help with people, vehicles, and templates without overwriting the owner record.

What a buyer, IT, and compliance reviewer will ask

Setup is where roles, records, and limits are set. The answers below match the screens.

Sign in and roles

People sign in with a MAJIC account, the workspace is the MAJIC company, and app roles sit on top of MAJIC roles. Owners and managers see everything plus rates and settings. Chauffeurs see only their own runs and their own vehicle.

Customers need no account

Customers use a public booking and quote request page and never need an account. A public submission creates a booking in Quote status, and staff confirm it before it is scheduled. No card details are collected on the public form.

Records and audit

Every change is logged without secrets or personal notes. Deactivating a chauffeur blocks new assignments and keeps past history. Retired records are kept for reporting, not deleted in a way that breaks past bookings.

Permits and certificates

KCMO permit and inspection dates for each vehicle and driver certificate and expiry for each chauffeur are recorded in setup and shown before they lapse, so dispatch flags a run until covered.

Phone and keyboard use

Every screen works on a phone and by keyboard, with labels on every field, real headings in order, alt text, and good contrast. Buttons show only when the role can use them, and the server checks again.

Finish setup, then run the first real day
